Increasing markets and company growth have led to the creation of the Executive Assistant position. The position supports and partners with DRI Energy’s Executive Vice President and Lumeta’s Executive Vice President and works out of the Company’s San Leandro, California office. Role:The Executive Assistant is an experienced, professional executive administrator. The Executive Assistant will exercise sound judgment and discretion, maintain a high level of integrity and have the ability to execute effectively under pressure. This employee will exhibit exceptional organization skills, juggle multiple priorities and keep two busy executives on track and on schedule. Primary Responsibilities:
- Act as liaison between executives and their direct reporting staff, including those in the project development, engineering and marketing departments
- Oversee a detailed calendar, schedule/organize meetings, and confirm/manage business appointments
- Track action items and commitments of executives and follow up to ensure completion
- Manage global travel arrangements for both domestic and international air, hotels, cars, restaurants and meeting itineraries
- Create and organize presentation materials for business development meetings and other engagements
- Manage expense reports
- Organize small/large meetings and events – business and social
- Prepare routine and advanced correspondence including letters, memoranda and reports
- Cultivate and maintain internal and external professional networks
- Handle clerical/administrative duties and maintain and organize files and records as needed
- Complete special projects as needed
Required Qualifications:
- Some college coursework in business or similar concentration
- 5+ years supporting executives in an executive administrative role
- Expertise with MS Office products – Outlook, Word, Excel, PowerPoint as well as Access
- Superior written and verbal communication skills
- Superior multitasking, organizational and initiative taking skills
- Ability to work effectively in a very fast-paced environment
- Ability to maintain a high standard of professionalism and maintain confidentiality of sensitive information
- Ability to work collaboratively with employees
- Web-savvy with excellent online research skills
- Detail-orientation for proof-reading, data management, and expense reports
Preferred Qualifications:
- Work-related experience in the construction and/or renewable energy industries
- Undergraduate degree in business or similar concentration
